Improvement

Allow engineers to view all certificates

A new permission allows your field engineers to see all the certificates you have in your account, not just the ones assigned to them.

To enable this feature, click Admin->Engineers, select the engineer information card and open their permissions tab. Tick the checkbox to enable.

Inclusive are the NAPIT Codebreakers Observations and coding recommendations as well as a full Inspection Schedule.

Due to popular request we have created an installation certificate specifically for Highway Installations.

The certificate resembles our current EIC but has specific sections for Service owner and type of highway installation.

Circuits, test results and inspection schedules are as per BS 7671.

BS 5839-6 Grade A Fire Alarm Certification updated to 2019

All of our BS 5839-6 Fire Alarm certificates have been updated from 2013 to 2019.

Included in the updates are the Design, Installation, Commissioning, Acceptance and Modfication certificates.

The FADW (dwelling certificate) now has the new grading system in place.

Our Copy Certificate feature means you can update an old certificate to the new Edition with ease.

Customer portal PDF forwarding

We became aware of users who sent their customers their unique portal link were looking for an enhancement to it .

The request was to allow customers to forward PDF documents to 3rd parties, such as a solicitor or builder.

Our new feature allows the customer to choose a recipient in our simple form and forward the document to whoever they like.

Improvement!

Internet loss detection

If you see a spinning indicator on the screen while you are editing a certificate you have lost your connection - if the spinner doesn't dissapear you will need to find a solid internet conneciton and reload the page.

If this happens, you won't be able to carry on until you regain connection - this means the last item you were trying to update won't have been saved so you should make a note of what you were trying to update.

Loss of internet connection will display this.

Copy and paste circuits

If you have a circuit that occurs many times on a board, you can now copy and paste all its values to new locations

Also, if circuits are in the wrong order that doesn't reflect the order in which they exist in the installation, this feature will allow the moving of circuits and then clearing the data from the original position.

Select the circuit you want to copy by clicking the hand, then click the Copy Circuit button.

If boards are added in a particular order that doesn't reflect the order in which they exist in the installation, they can now be re-ordered with a simple drag and drop.

New feature and improvements

Choose Zs preferences

Previously, Zs options were restricted to either 80% for EICR's and 100% for EIC's. Now you can choose to have the 80% tabulated value for EIC's.

Also previously, you could only use the 1667Ω values for RCBO's when the RCBO was the circuit overcurrent device. We became aware of instances when the board main switch is an RCD, there was no way to override the circuit Zs values, and use the Main Switch as protection for the whole board.

An option now allows you to choose to use the board Main Switch RCD mA rating to protect all circuits for the board - for example if you choose "Use 30mA", all circuits will have a Maximum Zs rating of 1667Ω, regardless of type, rating or disconnection time.

You can also choose to enter all your own values, this would be useful if you have a split board with a 30mA RCD on one side, and a 100mA on the other.

Standard settings for an EIC will be 100%.

Remedial action repair schedule

Our unique remedial action repair schedule allows you to detail all the remdial work carried out based on previous condition reports.

Detail all remedial work - include all the information that cannot be included on Minor Works certificates.

Import observations from any of your reports (see image 1), click the Import button, choose the report (see image 2) and all the observations from that report will be imported.

Use the Done feature (see image 3) to score out observations as they are completed.

Use the Copy report feature to create a new schedule, with all the observations from the original report.

Export observations to Excel

You can now export all observations from our reports to a csv file, which can be opened by Excel on Windows and Numbers on a Mac.

The file is downloaded to your device or computer and can be saved as an xls file which can then be imported into many job pricing applications.

Copy board feature

Where large installations have the same DB arrangement throughout the building, a block of apartments for example, the new Copy Board feature will make such installations faster to set up.

All circuit values from the original board (except any test results) will be copied across to a new board with the DB Designation now being DB-Mains_Copy for example.

Board measurements such as Zs DB and Ipf WILL NOT be carried across as we cannot assume the readings at the new board will be the same.

Test-results WILL NOT be copied to the new circuits as we cannot assume the new circuit results will be the same.

Sub mains WILL NOT be carried across to the copied board.

Main switch at this board results WILL NOT be carried across to the copied board.

Many of our users clients have requested they see a SATISFACTORY announcement an all Certificates (not reports).

Whilst ALL certificates should be issued as satisfactory, it is a visual notification that has been requested numerous times.

CCTV Installation & Commissioning Certificate

Collaborating with our users, we have designed and created a Certificate for CCTV installations.

Along with a commissioning checklist, we hva included sections to record all cameras, monitors and DVR's in the installation.

The first page of the certificate includes a section to record router and networking information.

Bug fix

Update button added

In some rare circumstances, users reported text not saving in certain boxes, we found this to be down to the user not clicking outside of the box once text had been entered, then navigating away from the page.

electraform works on the basis of automatically saving data as soon as it is entered, but this relies on the next box being clicked which triggers the save event.

We found that the affected boxes were the last boxes on the page (such as the Summary of the condition of the installation on the EICR), and therefore there was nowhere else to click, resulting in the data not saving.

We have introduced an UPDATE button that appears next to these fields when you start entering text, this provides a prompt to click the button which will ensure your data is saved..

Fire extinguisher inspection certificate

Our new certificate records the inspection and servicing of all types of fire extinguishers in all types of premises.

Included is a schedule of extinguisher inspections, detailing each type, make, size and the type of service inspection carried out.

Also included is our observations section to record details of remedial action, general observations and supply a pricing report should a return visit be required.

All extinguishers are recorded along with the type of service, make, size and type.

Our new feature allows your clients to access completed certificates and PDF's from their very own portal.

Send them their unique access link from their Client Profile card.

Remedial action report

Due to multiple feature requests, we have now included the option to include remedial work details for follow up repair work.

These options allow you or your engineers to record the necessary information to repair items detailed in observations.

We include a facility to record the materials required, hours required and whether the work needs to be done out of hours.

Based on this information, a remedial report is auto-generated that only you can see - your client has no access to this.

The report will detail the report number, address, engineer responsible, the observation number and the remedial information.

NAPIT Codebreakers introduced to electraform EICR

We previously included observation recommendations and coding suggestion to our EICR.

These options were based on the NAPIT Codebreakers publication and NAPIT have agreed to allow electraform to include the official NAPIT Codebreakers traffic light colour coding.

electraform has always had its own traffic light colour coding, so now there's an option to use the NAPIT Codebreakers version instead of ours.

Engineer permissions

We have slowly but surely been introducing new features to allow or prevent engineers from doing various things when they have certificates assigned to them.

We decided to combine all these permissions into one easy to manage section, where you decide which permissions each engineer has for all certificates assigned to them.

If you need to change permissions for a particular certificate, you can do just that from the Home screen.

If there is no assigned engineer, all permissions are available.

To make reviewing certificates easy, it doesn't matter what permissions are set for the certificate - if you open it from the Home screen, all permissions will be disabled to enable review without changing any of the options.

Permissions include

  • - create clients - this will allow the engineer to create a new client from their dashboard or from within a certificate.
  • - create installations - this will allow the engineer to create a new installation from their dashboard or from within a certificate.
  • - can change admin options - this will allow the engineer to change the client, installation, company and review engineer in a certificate.
  • - can complete certificates - this will allow engineers to complete certificates that are assigned to them.
  • - can create certificates - this will allow engineers to create new certificatesfrom their dashboard.

Bug fix

Internet Explorer Edge circuit designation bug

On the latest version of Internet Explorer, one of our new features wasn't working, when text was entered into the circuit designation field, it was removed after navigating away from the page.

Whilst this shouldn't be our issue, as the feature works on every other browser, we felt we needed to take a look.

It was discovered that IE Edge doesn't encode text as other browsers do, and therefore it rejected any text that was sent for sanitization before uploading it to our servers.

We've worked some magic and resolved the issue before Microsoft can be bothered to bring their crappy browser into the 21st century. We can only apologize for their laziness.

Major update!

Direct circuits and test result data entry

The pencil has gone! Now you can enter circuit and test result information direct into the circuit area. This makes assembling a consumer unit much quicker with you never having to lose the overall view.

Features include:

  • Change circuit numbers - click this option to change the circuit number arrangement to suit the consumer unit.
  • Quick circuit - use this to enter all circuit details in a single click, there are a range of popular circuit arrangements available.
  • Create sub-main - use this to assign sub mains to boards that already exist in the certificate.
  • Fill column - use this to copy a circuit value all the way down the board. If the circuit is a Spare, or already has a previosuly entered value in - it will be ignored.
  • Clear circuit values - use this to clear all circuit details in a single click, ideal if you have made a mistake.

Improved and additional options for the Admin dashboard

We have replaced the recently added checkboxes on the Admin dashboard for Hide Admin options and the Notified option.

These options are now in a small section, alongside twop new options to say whether the certificate has been emailed, and whether your invoice has been paid.

These are of course optional but form a good visual reminder as to what state the certificate is in.

  • - when highlighted, this signifies the Admin Options for the certificate are hidden from the assigned engineer.
  • - when highlighted, this signifies the certificate has been emailed to the Client.
  • - when highlighted, this signifies you have been paid for this job.
  • - when highlighted, this signifies you have notified LABC for this certificate via your usual notification method. (If the symbol is missing, then the certificate has not been marked as notifiable).
Please note - there is NO link between electraform and any notification body - this still must be done via your CPS provider or direct to LABC.

Choose who receives Certificate review notification emails

If you are the electraform account holder, but someone else in your organisation is responsible for reviewing certification, such as the Qualified Supervisor, then you can set the email address here as to who receives the email notifications when engineers click the "Mark For Review" button.

Click the Settings tab on the Admin screen, then select the 'Certificate Review Email address button'.

Enter the email address of who you want to receive these emails.

If the status has been accidentally set to For-review, or after review you decide the engineer needs to carry out more work on the certificate / report, you can now change the status via the certificate / report information card.

Click the icon next to the certificate / report on the Admin screen, then click the button showing the status of the certificate.

The button will only show if the certificate / report is marked For-review.

Notification Summary and reminder

We have introduced an option to say whether certificates are for notifiable work under Part P of the Building Regulations.

This is NOT an alternative to notifying your Local Area Building Control through your current Scheme Operator notification portal.

The feature enables you to do the following:

  • Identify whether the certificate is for notifiable works when you create it. (Image 1)
  • Mark the certificate as being "notified" on the Admin dashboard. (Image 2)
  • Change the status of whether work is notifiable or not after the certificate has been created in the Certificate Information card. (Image 3)
  • Download a Notification summary from the admin dashboard. (Image 4)
  • Keep the Notification Summary alongside the issued certificate. (Image 5)
Please note - again, there is NO link between electraform and any notification body - this still must be done via your CPS provider or direct to LABC.

Electrical Visual Condition Report (EVCR)

After much deliberation we have released an Electrical Visual Condition Report, the reason it took so long is because we couldn't decide what to put in it (or not put in it).

This report can be used on any type of premises providing an EICR has been carried out within the last 5 years for domestic rental properties, and within the recommended time of other premises types.

We have included an excellent option to include or exclude the boards and circuit details from the report, depending on what you have agreed with your client (see image 1).

For review now emails a notification to the office

Previously, when an engineer marked a certificate or report for review, the person responsible for reviewing it maybe wasn't aware and potentially vital certification documents may be delayed being delivered to your client.

Now, when the For Review checkbox is ticked, an email is sent to the person responsible, detailing what certificate or report has been marked for review, and a link to open it without having to log in to the Admin area.

Minor Works Mobile mode feature

We had feedback that the certificates are not particularly easy to use on a mobile phone, whilst we don't really advocate using electraform on a small phone, we thought we could do better.

As a test case we have created a mobile friendly option for the Minor Works (MW) certificate, if this proves to be popular, we'll roll it out across more of the popular certificates.

How does it work?

  • First click the Mobile Mode button at the top of the Certificate. (Image 1)
  • Each section of the Minor Works has been separated into a dropdown section of its own, click a section and the fields relevant to that section will drop down. (Image 2)
  • The Quick Circuit feature still works, in fact it looks even nicer than it did before!. (Image 3)
  • You can still toggle between the standard mode, and take a peek at the Print Preview whenever you wish to ensure all sections have been completed. (Image 4)

Emergency Lighting Condition Report

Based on the Emergency Lighting Periodic Report (EMPIR), we've created a unique Condition Report for the recording of faults and repairs on emergency lighting installations.

It includes an observation section, faults/failures and repairs.

To use the EMCR, this is how it works:

  • Record the date of the fault or failure, the luminaire reference, describing the reason for the fault, whether the isolation key switch is local or remote, and any action taken to safeguard the premises. (Image 1)
  • When it's time to repair the fault, record the date of repair, the action taken to repair and the engineer responsible. (Image 2)
  • Any other observations that aren't necessarily failures or faults can be recorded in the specific observations section. (Image 3)
  • If you want to change the Code, you can do this also.

EICR Observation feature improvement

We've added a great new feature that will improve the standard of reporting and save you time in writing observations by providing a comprehensive drop-down list, including relevant Regulation numbers relating to the observation, and a recommended Code to make life even easier.

To see how it works, follow these steps.

  • Choose an option from the first drop down box - this list is based on the Inspection Schedule part of the EICR. (Image 1)
  • The second drop down box will now be populated with a filtered set of observations based on your first choice. (Image 2)
  • The recommended Code can clearly be seen at the bottom of the page, along with the pre-selection of the Code dropdown box. (Image 3)
  • If you want to change the Code, you can do this also.

There are 2 new buttons as shown in the 1st image to either mark the current certificate as a Template - or to Archive it

NOTE: Only one option can be chosen - a certificate cannot be archived if it is marked as a Template and vice versa.

Download PDF's direct to your device

We have added a new feature to allow you to download PDF's direct to your device, without having to email them to yourself first.

Click the PDF icon, then choose from one of the options in the drop down list. When you click Download, the PDF will automatically be downloaded into your default downloads folder, and a preview may be displayed on the screen, depending on what operating system you are using.

  • Complete Certificate or Report PDF
  • Front Cover PDF
  • Circuit charts (only if the certificate type creates circuit charts)

Domestic Electrical Interim Inspection (DOMINT)

We have created a Domestic Electrical Interim Inspection, to carry out inspections on the electrical installations in-between EICR's.

There are 2 main sections for recording the outcomes of predominantly Visual Inspections on the Consumer unit, accessories, appliances and smoke/carbon-monoxide alarms. There is also an Observations and Recommendations section to record any items that might give rise to danger.

It is ONLY to be used if an EICR has been carried out within the last 10 years, and the Inspection is to provide information about the property on an interim basis agreed between you and the client/homeowner.

Use your own email account to send certificates to your clients

Previously we had a button to send your completed certificates to your clients direct from the program, some users wanted the option to send it from their own accounts as some of our emails came up as spam or were delivered into junk mail due to some recipients email settings.

We've introduced this new feature that allows just that, with the added benefit that your client will receive an email from you, not us and you can customise it to how you want it to look.

We've also changed the settings so you can now send draft certificates to yourself and to your client, even if the certificate is not complete.

You can now do the following

  • Choose who receives the email by changing the To: field
  • Add extra recipients or CC other people into the email
  • Change the From address to send the email from a different account
  • Change the text in the body of the email
  • Add attachments, such as images or your invoice for the job

Bug fix

Flashing icon prevented Admin buttons being clicked

Some users reported an icon flashing when they hovered over the icon on the Engineer, Company and Equipment pages. This prevented the button from being clicked.

We found out that this was due to older versions of Google Chrome, but also some CSS (Styling) that we had applied to the icon.

Until all browsers catch up with the latest styles, we have decided to remove the style which now prevents the icon from flashing for all users.

We have created a a button which will display the brief description of the work carried out in the certificate/report.

Click the icon on each certificate row to view the work carried out without having to open the certificate.

Improvement

Copy dashboard link button added for troublesome email sends

If you are trying to send your engineer their unique dashboard link and for some reason they don't receive it, this new feature will help get their link to them.

Sometimes email applications like Hotmail block 3rd party emails, if this happens follow these steps:

  • Either - Click the yellow Copy dashboard link button - this will copy the link to your clipboard (you can't see it, but believe us it's there!).
  • Or - Highlight the URL in the text-box and copy it by right clicking your mouse and clicking Copy, or Ctrl + C (for Windows), Cmd + C (for Macs).
  • Go to your preferred method of communicating with your engineer - email / text message / Whatsapp for example.
  • Paste the copied link by right clicking your mouse and choosing Paste, or Ctr + V (for Windows) Cmd + V for Macs.
  • The copied link can now be sent to your engineer where they can now access their dashboard.

Bug fix

Error trapping in form filling

We had a report of the forms for engineer and equipment allowing users to submit them without having all the required fields filled in. This wasn't very intuitive and left the user wondering what had gone wrong.

We have now introduced an improved error capturing routine where if a required field is left blank, the form will not submit, it will re-load and then display an error message to help you get the form filled in correctly (see image).

Earthing and Bonding Installation Certificate

After much discussion with our users, we have introduced a new type of certificate for the installation, repair or upgrade or Earthing and Bonding in an electrical installation.

It was agreed that the current Minor Works and Electrical Installation Certificates weren't entirely suitable for such installations, so we designed this certificate for the purpose.

You add bonding items similarly to the way Minor Works Certificate circuits are added (see 2nd image), where each bonding item is specific to the type of bond being installed, including the relevant tests and details.

Add Clients and Installations when Adding a new certificate

Previously to add a new client or installation, you had to navigate to the Admin area, then to the Client area, then click the button. Now you can simply click the button next to the Client dropdown and add a new client or installation from there. Once added, you will be returned to the Add-Certificate page.

Please note that any previously selected fields (for example the type of certificate) will clear if you use this new feature, so remember to add your new clients and installations first.

We've added a new Quick Circuit button for creating an existing circuit into a Spare Way - this is useful when copying an existing certificate into a new one, and the new board has redundant ways.

New feature!

New column for Observations and Recommendations - include DB - Circuit reference or an external image reference number

From feedback we have received, we have added a new column in the Observations and Recommendations section of the EICR to allow users to add a more specific reference, whether it be a DB and Circuit, an image you have included alongside the report, or both (see 1st image).

We have also increased the size of the Summary of the Installation to 1100 characters (previously 500) to allow for a more descriptive Summary (see 2nd image).

Improvement

Increase field sizes for Minor Works Certificates

From feedback we have received, we have increased the size of the Description of Minor Works fiilds for the Minor Works Certificate and the Minor Works 3 certificate.

Previously there was a 120 character restriction in these fields, we have more than doubled that to 270 characters, allowing a much more detailed description of the work being carried out.

Additional supply option for generators and standby supplies

If you mark the Number of Supplies (See 1st image) as 2, a new page will automatically generate to include the additional supply details.

This page is essentially a replica of the standard System Characteristics page, with a new section (see 2nd image) to record the details of the standby generator.

This new update applies to the following certificates / reports:

  • EICR
  • EICS
  • EICM
  • SCC

Improved circuit chart and PDF printing options

By popular request! - Previously you had to download circuit charts to your PC or Mac and then print them from there.

We have added some extra buttons which will allow you to view Circuit Charts, a PDF of the whole certificate, or the Front Cover on any screen.

From here you can either export these as a PDF (see third image), or print them direct from your browser.

Portable Appliance (PAT Testing Certificate)

By popular request! - This is a simple manual entry certificate to allow users to enter appliances by hand, applying whatever tests are relevant to the appliance.

There are several sections to analyse either the Summary of the testing, highlighting just the appliances and whether they have passed, a Test Results section, a Checks section (for visual checks) and a Failures section, which highlights how the item failed and the recommendation of what to do with it.

At some stage in the future, we may look at a scanning system which will scan an existing barcode and import it to the certificate.

Bug fix

Quotation marks replaced by html encoded characters

We had a report of certain fields replacing quotation marks or apostrophes with strange looking characters, this is html encoding to allow the characters to be posted to our servers.

Some of these characters are considered malicious and are therefore often stripped out and replaced with this strange character set.

We have now resolved this issue and thanks for bringing it to our attention.

This report is to assess and report on the condition of existing fire alarm and detection systems and ascertain whether they are fit for continued service.

The report has sections to record all observations made about the system, issue a classification code (colour coded if preferred), and an extensive inspection schedule with colour coded outcomes for clarity.

Due to popular request, we have introduced a Safe Isolation Certificate.

This type of certificate allows users to isolate part of, or an entire electrical installation - issue the Safe Isolation Certificate and then return to the same certificate to return the installation to service, and further notify the client.

Safe Isolation Certificate

Due to popular request, we have included a Safe Isolation Certificate, it is a 2 page certificate with sections for the equipment to be isolated, and the person(s) responsible.

The certificate allows you to detail the items being isolated, the responsible person who isolated them and the time they were isolated.

The certificate allows you to issue the isolation, and then return to the same certificate to inform the client that the isolation has been removed, and the system has been returned to service.

Upgrade!

18th Edition compliant certification and reporting added

The 18th Edition of BS 7671 was released on July 2nd and we have released the updates required so our certificates are compliant with the changes.

Most of the changes are in regard to the inspection schedules, with new regulation numbers and some enhanced requirements for RCD's.

Information regarding the use of AFDD's is also included.

There are 2 new fields on the Test Results section, one for the test voltage used for Insulation Resistance testing, and a test button for any AFDD's fitted.

You can choose between the existing 17th Edition range of certificates, or the New 18th Edition.

You can toggle between the 2 editions once the certifcate is open.

You can now copy any certificate type to any type (of the same sort - Fire Alarm to Fire Alarm, Emergency Lighting to Emergency Lighting etc).

We have included the options to exclude results, variations, non-compliances etc where applicable.

Additional re-test date option

Due to customer request, we have included an optional method of entering a re-test date.

Now you can either use the date-picker on the left to choose a date in the future, or use the input box on the right to enter a value such as 6 weeks for instance, particularly useful for EICR re-tests.

Bug fix

Extent of installation field wasn't updating

We had a report of the Extent Of Installation field on Minor Works Certificates not updating when new text was entered alongside existing text. This was down to a latent defect in our update code which required a certain procedure to trigger it which is why it was unknown to us and 99.9% of our users.

As you can imagine, this is like an intermediate fault on a lighting circuit that requires all the light switches in the house being switched in a certain sequence to trigger the fault.

We have now resolved this issue and thanks for bringing it to our attention.

Front cover always included

Due to popular request to this great feature we have included the front cover with all certificates and reports by default.

If you don't want this, then you can turn the feature off by clicking Settings > Include front cover, and set the checkbox to OFF as shown in the image.

The engineer dashboard gives your remote engineers more control and a better view of certificates and reports they have assigned to them.

If allowed, they also have the ability to create certificates and reports from their dashboard whilst on site - without having to let Admin know.

Certificate notes

To allow communication via the program regarding certificates, we have added a Notes section to the certificate card.

This allows admin to send engineers specific notes about the installtion, or the client and also allows the engineer to relay information back to admin in relation to the job.

When notes have been added to a certificate, a small yellow icon will appear as shown in the image below to alert each person that there is something to look at.

New feature!  New quick entry buttons added when editing boards. If the board is connected to the Origin of the installation and the Origin values are applicable to the DB you are on, then you can click the Use Origin button to pre-fill the values already entered on the System Characteristics / Supply Overcurrent section.

Similarly, if there is a Main Switch or RCD inbetween this DB and the Main Cutout you can click the Use Main Switch button to pre-fill the values already entered on the System Characteristics / Main Switch section.

What items are pre-filled when the checkbox is ticked?

  • Supply Overcurrent device - either the Main cutout fuse (1361(II) for example), or the Main switch type (60947-2 for example)
  • Supply overcurrent rating
  • External Ze
  • External PFC
  • If Main switch chosen, and an RCD is present, the tripping time at IΔn is included

New feature!  We have added a Hide admin options to the Home page - this feature speeds up the process of disabling admin options to prevent your field engineers from changing admin items in certificates/reports that are assigned to them. The original location for this feature is in the Certificate Card and can still be changed there.

What items are disabled when the checkbox is ticked?

  • Client details
  • Installation details
  • Inspection Engineer details
  • Review engineer details
  • Company details
  • The COMPLETE facility is also disabled, preventing the engineer from accidentally making the certificate/report as COMPLETE

The default setting when a new certificate/report is created, is to SHOW the options in the certificates/reports, ticking the checkbox will HIDE the options.
